Publicity Guidelines

Please review this list to familiarize yourself with the information we'll want to include to promote your event:

  • BIOS Presenter/performer/instructor/artist bio(s) (2-3 sentences/person)

  • DESCRIPTION of the event—what will happen?

  • RETURNING performer/presenter? Has this person performed for us before?

  • CONNECTION TO EAC/AREA? For performers/presenters coming from away, is there an EAC/Eastport connection?

  • HOSPITALITY Will there be refreshments/EAC Concessions available?

  • AGE RECOMMENDATION What age is your event meant for? All ages? Older teens and adults? Or by specific age range, such as age 12 and up; students age 8 or younger may attend with an adult, etc.

  • RULES/POLICIES? Any particular rules for your event? (How and where to sign up or register, etc., in case of an audition or musical ensemble, what types/ages of performers are sought? What will attendees need to do?

Following are some notes to consider for specific types of events

​

Concerts: Please include musical program information or description of performers' style/genre, notable recordings or performances. Is the performer on tour? Mention other ‘brag-worthy’ stops on the tour. Link to their site and/ or video/audio samples to help promote. Brief excerpts from reviews of performances are often helpful, with full citation/credit

 

Dances: What style? Singles or partners? Watchers welcome as well as dancers? Dances taught?

 

Exhibitions: Please include beginning and end date, gallery hours during exhibition, date/time and info about any receptions, is there an artist talk, whether there’s anything to note about proceeds from the sale of work.

Recruitment calls for theater or music groups: in case of a series of rehearsals culminating in a performance, please state particulars of concluding performances; auditions needed? prior experience needed?

 

Theater: Please give playwright's name and publication date. It's good to include cast names and home towns, why the particular play was chosen, any guidance on age suitability, etc. Feel free to mention both onstage and offstage participants—who is directing, lighting, doing sound, set design, costumes, etc.

 

Workshops or recurring classes: Provide details about the skill to be learned/finished product to be produced or what is taught in the class. Should bring or prepare any items; is prior experience required or recommended; are there are physical stipulations about the type of activity to be done (participant will need to stand to do this activity, etc.).
